xMarketing Tip

Last week we talked about drip marketing and how to go about setting up your campaign.  That is all good, except now that you have a campaign, you need an email list to target.

The first thing you need to do is have an automated system of capturing emails. If you use one of the many email marketing services (ConstantContact, iContact, etc.), it is very easy. They all provide a little piece of website code you can paste on your website. This code will put up a form, and when a website visitor fills out the form, their name and email are automatically inserted into the email marketing database. That way, you don’t have to manually grab someone’s email and type it in the database. If you do it the old fashioned way, then a web form can just email you the new subscribers, and you can type them into your email software.

Make sure the form has as few fields as necessary. For an email drip marketing, only ask for name and email. The more data you ask for, the less often visitors will fill it out.

To get people to sign up, you need an offer. Something like “Get my advice on XYZ delivered to your email weekly….Free!” or “Homeowners, before you buy a house, fill out this form to receive a free white paper on the top 10 ways people lose money when buying.” You can experiment with different offers, but make sure you have one.  Visitors will NOT respond to “Contact Us Form” or “Subscribe to our newsletter.”. Tell them what is in it for THEM if they give you their email address.

In the perfect world, all of your drip marketing customers come from your website.  However, that can take awhile, depending on your website traffic and the power of your offer.  I suggest seeding your list with your existing customers. Most of them should be your allies, and they won’t mind getting some information from you. Depending on your existing customer list, that could be a large set of people.  Some of your customers will forward emails they especially like to others, and you are off and running.

Next, I add prospects to the list.  Most of us get prospects from sources outside of the internet as well; referrals, advertising, sales calls, etc. While they are deciding about using your services, put them on the list.  You might as well drip market your active prospects as well as your passive ones.

Sometimes, that still isn’t enough…you want to grow fast. Should you go out and buy a list of emails to email market to? No.  If you do that, you may be in violation of the CAN SPAM act.  In addition, the response from users on unsolicited emails is extremely poor, and you risk getting put on a SPAM black list. However, you can partner with a complimentary business to leverage their email address list.  For example, a marketing company is a good partner to NeoNexus web design. NeoNexus can ask a marketing company to let us do a one time email blast to their customer list.  Ideally, they would send out the email under their name, with an offer NeoNexus provides that routes them to our website and sign up form, but it can work if NeoNexus sends the email ourselves and references the partner prominently.  Why should the marketing company consider doing this?

  1. we can exchange email lists and allow them to do the same thing with NeoNexus customers
  2. if they trust NeoNexus as a partner, by recommending NeoNexus and having us deliver superior services to their customers, they are becoming a trusted advisor to their customers. This strengthens relationships very fast and increases referrals
  3. we can offer them a commission on any work we receive

Building your email list is one of THE most important marketing goals you have in the 21st century.

Green IT Solutions can bring Small Business Cost Savings.

REDMOND, Wash.- Sept. 29, 2008 – Small businesses increasingly rely on technology to help the environment and save money, according to results of a survey released today. Findings show that 60 percent of small-business decision-makers save money by using sustainable technologies.

The telephone survey – conducted on behalf of Microsoft Corp. by KRC Research – of 250 small-business IT decision-makers nationwide discovered a growing focus on environmental concerns. Thirty-eight percent of respondents reported that their companies are more focused on being environmentally friendly than they were one year ago.

An overwhelming majority (69 percent) of respondents reported that environmentally friendly practices are important for their business. When it comes to methods for greening their business, 94 percent of those surveyed also believe technology is an important tool to help accomplish that goal.

Tech Tip
What is that Fn key for on my keyboard?

Check out your laptop keyboard and you will find a key, usually with blue print, labeled Fn.  This is a FuNction Key used to get more features or functions from you keyboard.  Some desktop keyboards also have this key.  Anything on your keyboard with the same color, usually blue, is activated by the Fn key.  The most common use is to move your computer display to an external monitor or projection device or to lock your PC when you walk away.  (look for the picture of the screen or lock on one of the other F1- F12 keys)  You can also use the Fn key to create a number keyboard with the letters J, K, L  etc.  Though you may not have a lot of need for the Fn key – you should be aware of its features in case you accidently invoke it.  Fn + Right arrow, on some systems, shifts your screen 90 degrees!  Caps. Lock + Fn on some keyboards locks the Fn which then locks the number pad making it impossible to type the letters J, K & L without getting the numbers 1, 2, 3 instead.

xMarketing Tip

Last week we talked about WHY you should consider using a blog to grow your website traffic. This week we will talk about how to use your blog once you set it up.

  1. Provide helpful information (sounds like a “duh”, but many blogs don’t actually discuss anything of substance, sort of like a Seinfeld episode).
  2. If you are a service business, provide advice to your prospects that may help them decide if they do or do NOT need you for a problem. For example, if you are a pest control company, provide some home remedies for minor problems so they can address some issues without calling. If you help them solve their own problem when they have a few normal ants in the laundry room, they are more likely to call you when a fire ant colony shows up next to their patio.
  3. Post items 2-3 times per week. They don’t have to be long posts each time; a few paragraphs 2-3 times a week is better than a long article once per month.
  4. Keep most posts short (< 500 words). On occasion, a hot topic deservers a longer post, but in general, assume some of your audience is ADD.
  5. Put spaces between paragraphs. You are more likely to get a 1000 word post read that has paragraphs of only 2-3 sentences than a single post of one paragraph with 500 words.
  6. Remember this is a blog for your business. While friends and family may want to hear about your latest vacation and how your kids did in soccer this past weekend, your customers and prospects do not. Prospective customers want to get to know you as it relates to their business relationship with them.
  7. Do NOT use this as a direct marketing piece for your services. You can weave in some of your products or services as possible solutions to the problems your readers face, but focus on their problems, because that is what they want to read about.
  8. Make it interactive by asking your readers questions to encourage them to comment.
  9. Run a contest only through the blog a few times per year as an incentive to get them checking back, ESPECIALLY if the contest involves the blog readers voting on the winner.
  10. If you have a newsletter, post copies of the old newsletters on the blog. If its a fancy graphical newsletter, just cut and paste the text to the blog, not all the images.
  11. If you provide technical support to your customers, have a category in your blog devoted to that topic. Eventually, some customers hitting the blog for tech support will read the other parts of the blog.
  12. Police your blogs for inappropriate comments. It is okay to have a legitimate customer satisfaction discussion on the blog with a dissatisfied customer as long as they treat the discussion with respect. If they just post things like “Your company sucks”, then delete the posts and ban the poster.
  13. Keep an eye out for SPAM bots posting ads for viagra and get rich quick schemes to your blog. There are security features that can be enabled to slow up SPAM bots.
  14. Include images, video, and audio when its appropriate to your topic.
  15. Link anchor text back to your website. For example, if NeoNexus posts on a blog and discusses “search engine optimization”, then instead of just listing search engine optimization as straight text, we can hyperlink the word “search engine optimization” back to the page on our website that talks about our Search Engine Optimization services.

Tech Tip

Especially for Pet Owners.

I have a Belgian Malinois, and I wouldn’t give him up for any reason; but boy does his hair make a mess in the house! It gets absolutely everywhere! Since you can’t see inside your computer, you can’t see how much of your pet’s hair has made its way into that space as well. If you have a desktop, it’s easy to take off the cover and blow out the dust with canned air or even your hair dryer set to COOL will assist. But if you have a laptop, it is not possible for you do perform this task on your own. And if you have cats, (we have one of those also) cat dander can really invade the spaces inside your computer. It is as fine as baby powder and coats all the surfaces inside your computer. Your computer has a fan that while blowing hot air out, is also pulling your home air in. Pet hair and dander clogs the air circulation in your PC and causes your components to run hot and decreases their life span up to and including causing shut downs; usually at the most inopportune times. Laptop owners can bring their computers to our shop for cleaning. We can open them up and clean out while your run errands. Target Market

The most successful small businesses know that only a limited number of people will buy their products or services. These companies become successful because they target the group of people that will buy their products and services and focus their marketing dollars towards them. There are many important points to remember when marketing to your target market.

-stay alert to trends that could impact your target market, product, or promotion strategy

-collect competitor’s ads and literature; study their information about strategy, products, features and benefits

-ask clients why they hired you and have them give you suggestions for improvements

-join an email list related to your profession

-subscribe to an internet newsgroup that serves your target market

-read market research studies about your profession, industry, product and target market groups

These are just a few tips that you can keep in mind when marketing towards your target market. As long as you focus your advertising and marketing dollars towards the groups that are purchasing your products and services, your business can be successful!

Search Engine Tips

Search engines have gotten so good that they offer enormously useful syntax for more specific results. I’ll point these out from time to time, but here are the top three most useful Google search modifiers that use a colon:

site:URL and search term. As in, site:www.categoryfivenetworks.com “wireless router.” To also point out, this modifier is even stronger if you drop the www. You can also drop the domain name entirely and search, for example, only .gov sites.

define:word. This brings up definitions, related phrases, and offers to translate the word.

filetype:file extension and search term. It may be obvious, but this lets you search for files with a certain extension, such as PPT for a PowerPoint presentation on your topic.

These are just a few of the great things you can do with the Google search engine.  These will help sort through the clutter.  If you know you found something on a site, just search it with the colon syntax and off you go!  No more sifting through a large website just to find the tiny bit of information you were looking for!

SEO Webinar

Marketing Tip

Staying in Touch with Clients

A very easy way to retain happier customers who will send you referrals is to stay in touch with them! Don’t give them the opportunity to forget your name! After doing business with a customer, it is always a friendly gesture to send a hand written Thank You card. This gives a personal feel, and shows them that you truly appreciate their business.

Follow up phone calls are also a great thing. Phone calls give you the opportunity to check in with the customer to see if everything is going well with their new product or service and if there is anything you can do to help them. You can also find out their feelings on the process of the purchase and if there were anything you could have done to make their buying experience better. This is also the perfect time to ask for testimonials.

Sending out cards during the holidays and for special occasions are a great way to keep reminding the customer that you are there for them! Once again it displays the personal feel that you put in your work which makes the customer happy and more likely to refer friends to your business.

Emails and newsletters are perhaps the most least personable way that you can keep in touch with customers but is often the easiest way to reach out to a very large client base. A weekly newsletter can be sent out keeping the customers up  to date on what is going on and any new services that may be offered.

These are just a few of the many ways that you can keep in touch with customers. The important thing to remember is that you don’t want the customer to forget your name! Stay in contact with them and they will constantly be reminded that they are dealing with a company that they will want to do repeat business with, as well as refer their friends to.

When Your Computer is Frozen Solid
Every once in a while, Windows wanders off somewhere to sit under a tree. You’re left looking at a computer that does nothing. None of the computer’s lights blink. Panicked clicks don’t do anything. Pressing every key on the keyboard doesn’t do anything, or worse yet, the computer starts to beep at every key press.

When nothing on-screen moves (except sometimes the mouse pointer), the computer is frozen up solid. Try the following approaches, in the following order, to correct the problem:
Press Esc twice. This action usually doesn’t work but give it a shot anyway.

Press Ctrl, Alt, and Delete all at the same time. If you’re lucky, the Task Manager appears with the message that you discovered an unresponsive application. The Task Manager lists the names of currently running programs, including the one that’s not responding. Click the name of the program that’s causing the mess and then click the End Process button. You lose any unsaved work in that program, but you should be used to that. If that still doesn’t do the trick, click the Task Manager’s Shut Down menu and choose Restart.

If the preceding approaches don’t work, push the computer’s reset button. When the Turn Off Computer box appears, choose Restart.

If not even the reset button works (and some computers don’t even have reset buttons anymore), turn the computer off by pushing its power button. (If that merely brings up the Turn Off the Computer menu, choose Restart, and your computer should restart.)

When nothing else works, if you press in the computer’s off button long enough, it will eventually stop resisting and turn off.

Marketing Tip

Marketing on a Budget

Small businesses as well as start up businesses usually do not have the money and resources needed to launch huge advertising projects. The bad thing about this is that these are the companies who want to advertise the most to get their name out there! Advertising is extremely expensive, however, there are non-advertising approaches to promotion. Generally, they require less money to implement and are much more effective in growing business. The only catch is that they require time and creativity.

The first solution is coupons. You don’t necessarily have to distribute coupons in print advertising or direct mail pieces. Coupons can be handed out at street corners, trade shows, or just about any where else.Coupons are quick to design and print because their selling point is price, not image.

Contests are another solution to marketing on a budget. People LOVE contests. If you choose to implement a contest, be sure to make it fun, silly, and talk it up! If your contest is wacky enough, you may even get free media coverage.

Gifts are another source of cheap marketing. People love to receive things for free, no matter what it is! Tests have shown people will even pay a premium price for a more expensive item to get something for free. It isn’t unheard of to see a free color printer with purchase of desktop computer. This tactic can be used in any business.

You can also gain free advertising by hosting events. Hosting events such as wine tastings,or charity fundraisers are great ways to introduce people to your business or remain in contact with current customers. It will create a feeling of excitement and get people more involved in your business.

As you can see, there are numerous way to market your business without spending a dollar! Just use your creativity, think outside the box, and you can be successful in your marketing endeavor!

Tech Tip- Supplied by Category 5 Networks

Maximize Your Computer and Website Login’s Security
Most PCs and lots of personal data, such as bank records and Web mail access, are guarded only by a username and password. Usernames are fairly easy to guess and often pre-filled in, so you need to make sure your passwords are strong-not easily guessed or cracked by “dictionary” attacks that throw millions of letter combinations at the dialog. Many of the most widespread Internet worms have built-in dictionaries of common passwords, and once they are running on your system, they can attack your computer and others on your network.

· Don’t use any part of your username, full name, address, birth date, and so on. This data is readily available to intruders.
· Don’t use English or even foreign words.
· Make sure your password is at least eight characters long. The longer the password, the better.
· Use different kinds of characters in your password. At the very least, your password should contain uppercase letters, lowercase letters, and numbers. If you’re comfortable with non-alphanumeric symbols (such as #@!&) or extended ASCII characters (which you can access by holding down Alt and typing on the number pad), use them.
· Change passwords every month to six weeks.
· Don’t write your passwords on a sticky note and post it on your monitor.
· If you need to keep a repository of passwords, use a utility like RoboForm Pro (www.roboform.com) that keeps an encrypted list of all your passwords under a single master password. These programs can also generate strong passwords to your specifications.
· Don’t recycle old passwords or use the same one for several different applications.
· Use a word you know, but substitute punctuation and numbers for letters. For example, coffee could become C0FF33 and Indiana_Jones could become 1nd1@n@_j0n3s
· Use a passphrase-a group of words, as opposed to a single word. If you’re a Beach Boys fan, “It’s not a big motorcycle, just a groovy little motorbike” might be a good passphrase.

Note that not every security system lets you use passwords this long, or even ones that have embedded spaces. Some e-commerce sites, for example, will allow you only 8 to 12-character alphanumeric passwords.

Google Changes Rules!

On October 24, Google changed its rules for page ranking. Some sites saw a down-grade in page ranking, others were not affected.Google has been quiet about the why, but industry experts think that its due to page link. Page rank is the score calaculation based on the number of websites that link to your page and page ranking of those sites. It is not a measure of traffic, while it has value, it is somewhat unclear. Search Engine Marketing (SEO) consists of many vaiables, one of which is links. Page rank is Google’s way of calculating those links. To see page rank of any website, install Google tool bar. If you have any questions about page rank or Google tool bar, contact Kim at kim@wp.proj.

Unique Selling Propositions

With the number of businesses today, it is important to distinguish your company from all the rest. How do you differentiate your business from the others? Well, the best way, is to create a unique selling proposition or USP.

A USP is the distinct and appealing idea that sets you and your business favorably apart from all your competitors. The possibilities for building a USP are unlimited, however, it is best to adopt a USP that addresses an apparent void in the marketplace that you can honestly fill.

Your USP is the force that drives your business and success. It can also be used as a branding tool. The ultimate goal of your USP and marketing is to have people say to you….”I have heard of you! You are that company who….”

A great example of a USP is Domino’s,”Pizza delivered in 30 minutes or it’s free!” This USP caught on and took Domino’s so far, it became a billion dollar company.

Your USP needs to be so compelling, that it can be used as a headline that sells your service or product. Integrate your USP in ALL marketing materials, such as your marketing and sales, business cards, letterhead, sales pitch, website and Internet marketing.

Be bold when developing your USP, but be careful to ensure that you can deliver! Your USP should have promises and guarantees that capture your audience’s attention and compels them to respond to you.

Keeping Your Hard Drive In Shape
1. Remove clutter and old programs

Start this “purge process” by taking a look at the short-cut icons on your desktop. Because it takes time for your PC to find these icons when it boots up, delete them or turn them off with a swift right click if you don’t need easy access to them.

Next, if you don’t need all those individual files, pictures and MP3s on your desktop, start categorizing them into folders. This is also a good time to go through the contents of folders you have already created and delete any duplicate files or those you no longer use. Microsoft® Windows® XP comes with already-labeled folders such as “My Documents,” “My Photos” and “My Music” to help organize your files accordingly-and eliminate the clutter on your PC’s desktop.

Lastly, if you’ve never used a particular software program that came with your PC or haven’t used it in over a year, consider getting rid of it. To delete a software program:

-Click Start, and point to Settings.
-Point to Control Panel, and double-click Add/Remove Programs.
-Click the software program you want to delete.
-Click the Change/Remove button, and follow the instructions on the screen to start the removal process.

Alternatively, you can use the “Uninstall” feature that comes with the software program you’d like to delete. However you choose to remove the program, empty your PC’s Recycle Bin after the removal has taken place.

2. Clear out the cache

Every time you visit a new website, content is automatically stored in your “Temporary Internet files” folder, otherwise known as a cache. These files slow down hard drive speed by taking up valuable storage space. The “Tools” function provided by Microsoft® Internet Explorer allows you to delete these files. To clear out the cache in Internet Explorer:

-Click Tools and then Internet Options.
-Under Temporary Internet files, click Delete Files.

3. Clean up even more

Disk Cleanup, a handy tool that comes with Windows® XP, allows you to easily sort through and delete unused and temporary files, freeing space on your hard drive and speeding up its operation. To access Disk Cleanup:

-Click Start, and point to Programs.
-Point to Accessories and then to System Tools.
-Click Disk Cleanup.
-Choose the drive you want to scan from the drop-down menu, and click OK.
-Wait while Disk Cleanup calculates how much space is available for cleanup. This step  may take a few minutes.
-Click the “Disk Cleanup” tab and then the checkbox(es) next to the type(s) of files you want to delete.
-Click OK to start the cleanup process. Depending on the amount of files you want to delete, this may take several minutes.

4. Defrag your hard drive

As you work on your PC, it stores your data in bits and pieces on its hard drive, wherever there is space. Imagine various chapters of a book being deposited in different places throughout your home. When you open a certain file, your PC runs around gathering all these “chapters” (creating the whirring sound you may have heard).

Enter Disk Defragmenter, another powerful utility included in Windows® XP. Reorganizing that scattered data on your hard drive, Disk Defragmenter also moves the files you use most to the beginning of your hard drive, so they load faster and your PC runs more efficiently. To access Disk Defragmenter:

-Click Start, and point to Programs.
-Point to Accessories and then to System Tools.
-Click Disk Defragmenter.
-Once Disk Defragmenter tool appears, click the “Analyze” button, which will show you how much time you’ll need for defragging. Depending on the amount of files on your hard drive, this step may take a few hours.
-After the defrag tool analyzes your hard drive, follow the instructions on the screen to start the defrag process.

Disk Defragmenter’s bottom frame displays its progress, and you can interrupt or temporarily discontinue it by clicking on “Stop” or “Pause.” While you can use your PC while defragging, the process slows down other applications, so you’re best off utilizing
Disk Defragmenter when you don’t need to work on your PC, like when you go to bed.

Note that your PC’s hard drive must have at least 15% free space for Disk Defragmenter to completely and adequately defrag it. If your hard drive has less than 15% free space, Disk Defragmenter will only partially defrag it. To increase your hard drive’s free space, delete even more files that you don’t use or move your files to another drive or device such as the HP 300GB Personal Media Drive.

If you organize and clean up your PC’s hard drive as described, it will be the well-oiled machine it should be-and remain healthy and run smoothly for years to come!

NeoNexus recently completed a website for the Disabled American Veterans Auxiliary, NC chapter free of charge. DAVA is a non profit organization founded in 1922 by women who saw a need for assistance to the families, widows, and orphans of disabled veterans, as well as the disabled veterans themselves. Because the organization is non profit, they did not have the funds to purchase a website. NeoNexus saw the value of the organization, and donated the website free of charge, to assist in getting the word out about the Auxiliary, and provide a way for members to stay in touch and receive information. You can check out the site at davanc.org. The following testimonial is from Renee Jones, State Adjutant for the DAVA,

“Wanted to share the web site that Kent built for the Disabled American Veterans Auxiliary (www.davanc.org) We are very thankful he could make this happen. Kim and Louise took my scattered thoughts and made them into something wonderful! WHALE DONE!!!

Marketing Tip

Press Releases

One of the most inexpensive and best ways to get free publicity is to write a press release. Publicity generated by press releases is free and the coverage is often much more extensive than anything you could have hoped to say in an ad. There are some guidelines to go by when you are writing a press release.

First off, decide why you are writing the press release and determine the focus. You must have something that is truly news-worthy, or editors won’t even take a second look at it. A press release is honestly all about story telling. You want to grab the attention of the media and tell them a wonderful story. Your headline should be a synopsis of the press release. Grab the attention of the editors immediately!

You should be spontaneous and enthusiastic when telling your story. People love to read things that are not boring, that include humor and that makes them relate to you.

Be very specific with details. This gives them a clearer picture of what happened. Timing is everything! You should always be on the lookout for national trends. If your company ever does activity that corresponds with national trends, write a press release about it. There is a much higher chance of your news being chosen to publish if there are other things nationally corresponding with you and your story.

Keep press releases short and to the point. Editors do not have all the time in the world to read every press release that comes in so you need to get them the facts quickly and accurately! Grab their attention! Also be sure to write in short sentences, so a 6th grader would be able to read your story and understand it. You have to remember that the editors who read your press release probably do not know your business. You must write it in vocabulary they understand so there will be a higher chance of them wanting to publish your story.

Quotes are also valuable to use in press releases. This makes it easier for the editor to write the story. Sometimes, they may just use the quotes from the press release if they do not have time to interview the contacts for the article.

Make sure to include contact info in your press release at the bottom. Include mailing address, email, phone number and fax so they have every way possible to contact you for more information.

Keep your activation status intact when reinstalling XP
Have you ever wanted to reformat the hard disk and reinstall Windows XP on a system but you didn’t want to mess around with Microsoft’s Product Activation after the reinstall? Fortunately, you don’t have to.

As long as you aren’t making any hardware alterations, you can back up the activation status files before you reformat the hard drive and then restore them after you reinstall the operating system.

To perform the backup, follow these steps:

1. Use Windows Explorer to open the C:\Windows\System32 folder.
2. Copy the Wpa.dbl and Wpa.bak files to a floppy disk or CD.

To perform the restore, follow these steps:

1. Decline the activation request at the end of the installation procedure, and restart         Windows XP.
2. During bootup, press [F8] to access the Windows Advanced Options menu.
3. Choose the Safe Mode (SAFEBOOT_OPTION=Minimal) option.
4. Use Windows Explorer to open the C:\Windows\System32 folder.
5. If they exist, rename the new Wpa.dbl and Wpa.bak files to Wpadbl.new and Wpabak.new.
6. Copy the original Wpa.dbl and Wpa.bak files from the floppy disk or CD to the C:\Windows\System32 folder.
7. Restart the system.

Run by two “food experts,” they invite individuals to not only seek their advice, but to also rate the restaurants. The review site is unique from others in that it is officially politically incorrect! They do not hold anything back, tell the truth, and KNOW the difference between chopped steak and filet mignon. How To Market Yourself Better

Networking

Network marketing is the most effective and exciting form of lead generation. Effective business networking is building trust and relationships between individuals and therefore becoming walking, talking advertisements for each other. It is important to keep in mind that networking is about being genuine and authentic, building trust and seeing how you can help each other.

A great way to network is to hold volunteer positions in organizations. This is a great way to stay visible and give back to the groups that have helped you.

In networking conversations, you should always ask open ended questions. These include: who, what, when, where, why and how. This is a smart way to avoid yes/no answers, and leaves the door open for further discussions.

You should follow through quickly and efficiently on referrals that are given to you. Your actions reflect back on those who gave you the referral, so you would hate to make them look bad!

It is also important to call those you meet who could benefit from your services and vice versa. Express that you enjoyed meeting them and ask if you both can get together sometime to exchange ideas and learn more about each other’s services.

Helpful Keyboard Shortcuts

Keyboard shortcuts are a great way to keep things moving when you’re using your computer, and they let you perform tasks without lifting your hands from the keyboard.  These are some of the basics that you should know–at least if you want to cut down on the number of times you reach for the mouse every day.

1. Ctrl+Alt+Del is the mother of all keyboard shortcuts, affectionately known as the “three-fingered salute,” since it’s so useful when your Windows box locks up. Is your machine totally locked up? Reach over, grab the mouse and click Shut Down.

2. Ctrl+S saves the file you’re working on. Ever lost a spreadsheet you’ve been editing? Hit Ctrl+S (simultaneously) to save. Hit it early and often! (Want to open a file from within the program you’re running? Ctrl+O universally opens the File/Open window.)

3. Ctrl+C copies text, files, or icons that you’ve highlighted, Ctrl+V pastes them where you point your mouse (hey, you can’t completely eliminate using it), and Ctrl+X cuts whatever you’ve highlighted out of the document (or folder/file). Ctrl+A highlights the entire file you’re working on or everything in a folder.

4. Alt+Tab lets you switch on the fly between all of your open windows. Press the combination once to switch to your last open window or multiple times to switch to any other open window. Holding down Alt+Tab will bring up a system window that shows you what apps are running and which one you’re switching to.

5. Ever wonder why almost every Windows program has the F in File underlined, not to mention the E in Edit, and so on so forth across the top of the Window? Hit Alt + that letter to open that particular menu; you can either use the arrow keys to move around within that window, or keep your eyes peeled for more underlined letters to use more Alt+ key combinations.

6. The Windows key (the one that looks like the Windows logo) +R opens the Run dialog. You can paste in a folder path, such as C:\Documents and Settings\[username]\My Documents\Expenses, and Windows will open it automatically. You can also use the Run dialog to open Microsoft applications such as Word, Excel, or Notepad. Just type winword to launch Word, type excel to launch Excel, and notepad to launch Notepad.

7. Windows+E launches Windows Explorer, defaulting to My Computer.

8. F2 renames a selected file or folder. (This is so much easier than right-clicking!)

9. F3 launches Search if you’re on the desktop or in a folder.

10. Windows+M minimizes all open windows, and Windows+D shows your desktop. This is a great one for when the boss pops up in your cubicle. Once the boss gone, hit Shift+Windows+M to bring up your minimized windows, or Windows+D to drop your desktop back down again.

There you have it.  This is just a small taste of what you can accomplish by just using your keyboard alone.  There are many more shortcuts out there so keep looking out for them!

Tips on how to keep your computer cool.

Today’s computers have built-in cooling fans that keep the computer from overheating during normal use.  If your computer’s cooling fan malfunctions, the computer will overheat and cause irreparable damage.  Keeping the computer fan in tiptop shape is fairly easy.  Just follow these simple steps:

- Do not block any air vents on your PC’s case.  You can also extend the life of your    computer monitor by giving it a little breathing room. Don’t block the air vents on your monitor by piling papers or books on top of it.

- Most fans are on the back of the computer, so position the computer a few inches from the wall.

- Keep draperies and other fabric away from the fan.

- Keep the fan clean and free of debris.

- Keep dogs, cats, and other hairy pets away from the computer.

- Keep your computer in a clean, well-ventilated area.

- Open your case once or twice a year and use a computer vacuum or can of compressed air to clean out built up dust and debris. Do this more often if you have a cat or dog that sheds a lot.

- The room where your system is kept should never be too hot.  How hot is too hot? If it’s uncomfortable for you, it’s probably uncomfortable for your PC as well.

- Don’t put the CPU unit of the computer on the floor.  This is one suggestion that even I don’t always follow.  Yet, if this is feasible, your computer will accumulate less dust and dirt if kept off the floor.

- If you own a laptop, you can’t easily open the case.  Instead, use compressed air to blow out any of the vents or fans and always use a hard surface to put your laptop on.  Placing the laptop on a blanket or other fabric blocks the air vents and will severely effect the performance.

There you have it!  If you keep after these few steps, your PC/Laptop will most likely outlive it’s usefulness due to old hardware but not due to overheated hardware.

Effective Web Copy

When writing website copy, you should speak to your audience using language they use, anticipate questions they may have, address problems they have that your company can solve, and speak to them so that they feel like you “get it.” There are a number of things you can do in order to write effective web copy.

Use “we” instead of “I” if you are wanting to be perceived as a larger company. Always keep content fresh and updated frequently so customers will want to return to your site. Copy should also be brief and to the point. No one wants to sit there for 30 minutes reading every little thing about your company.

You should include clear call to actions. Phrases such as “Call Us,” “Sign up for our newsletter,” and “Complete our survey” will make visitors take action.

Offer tips and advice.Offering tips and ideas reinforces your expertise to your audiences and makes them want to work with you. The more value your website has, the more often visitors will want to return.

Remember that it is not about you, it is about the reader.Your home page must address the problems and challenges that your visitor may have and tell them how you can help solve them. It should not be all about you and how great your business is. Visitors should look at your homepage and think, “They really can help me.”

Effective we copy involves your visitors and sets the tone for your company. Follow the easy guidelines listed above, and you will be on your way to pleasing your visitors!

7 Deadly Sins of PC Users

This is a short, to the point list of the common mistakes that can be devastating to your home or office PCs.  Do you fall into one of these categories!?  If you do, the time to start is NOW!

1. Ignoring Antivirus updates and scans

a. Allow scans to complete at least once a week.

b. Allow updates to occur daily.

2. Downloading unsafe files

a. If it’s free and you know it shouldn’t be, chances are it’s infected with mal-ware.  Keep to tried and tested software and other files.

3. Neglecting power surge protection

a. Power surges/spikes can burn electronic devices making them expensive paperweights.  Consider buying a twenty dollar surge protector to protect your investment

b. Consider a UPS (Battery Backup) to keep your computer from improperly shutting down.

4. Skipping or neglecting a backup routine

a. Your irreplaceable business and personal data are always in danger of a failed hard drive.  It’s not a matter of IF; it’s a matter of WHEN.

b. Use CD’s, Online Backup, External Hard Drive or Tape backup units to keep your data safe and secure.

c. Keep your most recent copy offsite at a bank vault, home or other location you feel safe keeping it stored.

5. Ignoring or failing to setup Windows Updates

a. These updates are crucial to the operation of your system as they often fix security issues and errors; let them run.

6. Letting friends or family use your PC

a. If it’s a work computer, its best left to do the work you want it to do.  Do not download music and other non work related items.

7. Unchecked Email attachments

a. If it looks suspicious, delete it without opening it or its attachments.  If it was important, the person who tried to send it to you will let you know soon enough.
